This Privacy Notice tells you how we, Scientia Clinical Research Ltd. (Scientia) will collect and use your personal information.

If you make an enquiry about our services, we might use your information to inform you about our capabilities, expertise, facilities and services, and manage any work you place with us. If you are a service provider, contractor or supplier, we will use it to make enquiries and manage orders. If you inquire about a career with us, we will use your information to assess your suitability for a position and to demonstrate and assess our compliance with legal requirements for recruitment of staff.

2. COLLECTION OF PERSONAL INFORMATION

Scientia will only collect personal information that is reasonably necessary for one or more of its functions or activities. Scientia is a company that performs clinical trials and needs to be able to:

  • promote Scientia’s services to potential interested parties
  • respond to customers and execute contracts
  • discuss research collaborations
  • identify suppliers
  • to identify potential new employees

3. WILL SCR SHARE PERSONAL INFORMATION WITH ANYONE ELSE?

We may keep your personal information on paper and in a computer database that is confidential and access controlled.

Sponsors, CROs, Suppliers, Health Care Providers, and other customers:

We may share that information with third parties working on behalf of Scientia to deliver services relating to your enquiry. Those parties must keep your information confidential and use it only on the documented instructions of Scientia.

Job applicants:

Unless required by law, we will not share your personal information with anyone else except any recruitment agency that you have used or your referees.

We will never allow third parties access to your personal information for their own marketing purposes. We will never sell personally identifiable information to third parties.

4. HOW WILL SCIENTIA USE THE PERSONAL INFORMATION IT COLLECTS?

Sponsors, CROs, Supplier, Health Care Providers, and other customers:

We will use your personal information only for the following purpose as applicable:

  • to process enquires and execute work placed with or by Scientia
  • where otherwise necessary for our functions and activities
  • to comply with the law

We will do our best to keep your personal information accurate and up to date, and not keep it for longer than is necessary. By law, we must keep certain types of information (such as information for clinical trials, income tax and audit) for fixed periods of time (e.g. information collected as part of clinical trials must be kept for at least 15 years).

We may from time to time contact you to ask about current and future clinical trial requirements, or to let you know about any developments at Scientia. If Scientia has enquired about your services, we may contact you to let you know about any developments or potential opportunities. We will stop contacting you if you inform us at any time that you no longer wish to be contacted. We aim not to be intrusive.

Job Applicants

We will use your personal information only for the following purpose as applicable:

  • to assess your suitability for current and future job vacancies
  • to demonstrate and assess our compliance with legal requirements for staff recruitment

If we offer you a position, we will ask you for some sensitive information, to help us assess your suitability for the role or to monitor equal opportunities.

We will do our best to keep your personal information accurate and up to date during the application process.

We will not keep your personal information for longer than necessary. If your application is successful, we will keep your information in line with our contractual procedures. If your application is unsuccessful, we will keep your information for up to six months in case we need to respond to a claim of discrimination. If you agree that we can keep your personal information on file, we may contact you if a suitable vacancy arises. We will stop contacting you if you inform us at any time that you no longer wish to be contacted. We aim not to be intrusive.

5. COOKIES

Cookies are small files sent from websites like Scientia’s (or through a service from a third party such as Google via Google Analytics) and stored in your internet browser. They allow a website’s systems to recognise your internet browser and remember certain information. The Scientia website uses ‘cookies’ for maintaining contact with a user through a website session. All cookies will immediately lost when you end your internet session and shut down your computer. Scientia’s record of your information will be automatically deleted twenty minutes after you last use out website. We cannot collect your personal information (like name, date of birth, contact details, etc.) via cookies on our website.

You can reject receiving cookies from websites through the settings on your internet browser. If you would like to reject cookies from Google Analytics, please refer to the link below in Section 6.

6. GOOGLE ANALYTICS AND OTHER TOOLS

Scientia uses a range of tools provided by third parties, such as Google Analytics, to collect or view website traffic information, and to manage, secure and improve our website. These sites have their own privacy policies and SCR is not responsible for the privacy practices of other business – or the content of websites that may be linked to our website.

Google may set up cookies or read current cookies on your internet browser to collect data. Google use this information to evaluate your use of our website, and to prepare reports on website activity. Google will not link your computer’s IP address with any other data held by Google.  Obtain for further information about managing your settings, opt-out options and Google’s privacy policy on https://policies.google.com .

No attempt will be made to identify anonymous users of their browser activities unless Scientia is legally compelled to do so.

7. HOW CAN I FIND OUT ABOUT PERSONAL INFORMATION THAT SCIENTIA HOLDS ABOUT ME?

Scientia upon your request can confirm what personal information we hold about you and how it is used and processed. Please refer to Scientia’s current Privacy Policy on how to do that, what information we can provide and what sort of proof of identification we require from you.

8. HOW SECURE IS THE PERSONAL INFORMATION I PROVIDE?

Scientia places an importance on the security of all personal information that it holds.  We have security measures in place to protect personal information that we hold against loss, misuse and interference, and from unauthorised access, modification or disclosure.

No data transmission over the internet can be guaranteed to be 100 per cent secure.  As a result, while we strive to protect user’s personal information, Scientia cannot ensure or warrant the security of any information transmitted to it or from its website, and users do so at their own risk.

Once Scientia receives your transmission, it makes every effort to ensure its security on its systems.
